All groups must provide a certificate of insurance for their stay. More detailed information regarding the insurance requirements will be addressed on a per group basis by the outside event coordinator. Some of the preliminary items that are essential in figuring costs and scheduling of facilities are noted below.

- Date of event, and the number of attendees
- Facilities needed for the event and the hours of operation
- Custodial services
- Housing requirements, if any are required
- Food Service requirements
- Technology requirements
- Transportation and parking requirements
- Security requirements
- Special needs (physical, dining, etc.)
- Laundry Services
- Special equipment requirements, fax, copier, phones, postal, audiovisual, etc.
